How to set up Microsoft Bookings

    Open Bookings in Microsoft 365

    Go to microsoft365.com, open the app launcher, and choose Bookings. Bookings ships with most Microsoft 365 Business and Enterprise plans; if you do not see it, an admin has to enable it in the Microsoft 365 admin center.

    Choose to create a new booking calendar, then add the business name, logo, address, phone, and business hours. This becomes the public identity on the booking page, so use the brand the customer expects.

    Add staff and connect their calendars

Share a calendar across your team

  • Assign more than one staff member to a service. Bookings then offers a slot whenever any assigned person is free, so the team shares one booking page instead of one link per person.
  • Leave 'Events on Microsoft 365 calendar affect availability' on for every staff member. Their existing Outlook meetings, PTO, and other Bookings appointments all block the shared availability automatically.
  • Use the 'Scheduling policy' and each person's working hours to shape pooled availability, and let customers pick 'anyone' when you do not want them choosing a specific person.

Avoid double-booking and conflicts

  • Reminders are sent by Microsoft from the booking record, so they fire whether the booking came in directly or via a link the receptionist sent.

  • Not connecting every staff calendar. If one person's Outlook is not affecting availability, Bookings will offer times they are not actually free.
  • Skipping minimum lead time, which lets customers book slots that start before anyone can prepare.
